By using Syntx AI, the user confirms that they have read this Policy, understand its provisions, and agree to the terms of processing of their personal data in accordance with it.

1. General Provisions
1.1. This Privacy Policy (hereinafter referred to as the “Policy”) establishes the procedure for collecting, using, storing, transferring, and otherwise processing personal data of individuals and legal entities (hereinafter referred to as the “Users”) carried out by SYNTX INTELLIGENCE – FZCO, a company registered under the laws of the United Arab Emirates under registration number 70517, taxpayer number 105317427000001, with its registered address at Building A1, Dubai Digital Park, Dubai Silicon Oasis, Dubai, United Arab Emirates (hereinafter referred to as the “Company”), within the use of Syntx AI available in the Telegram messenger.
1.2. The Company independently determines the purposes and methods of processing Users’ personal data and acts as the party responsible for such processing in accordance with the applicable personal data protection legislation of the United Arab Emirates. In cases where the processing of personal data falls within the scope of the legislation of other jurisdictions, including Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR), the Company takes the necessary measures to comply with the relevant requirements.
1.3. The Policy applies to all Users of Syntx AI, regardless of their citizenship or location, to the extent provided by applicable legislation.
1.4. If the user does not agree with the terms of this Policy, the user must immediately stop using Syntx AI. Refusal to use Syntx AI in the absence of consent to the provisions of this Policy also constitutes refusal to provide personal data for processing within the use of Syntx AI.
1.5. The Company takes the necessary organizational and technical measures to protect Users’ personal data and appoints a person responsible for matters of personal data processing and protection in cases where this is required by applicable legislation or the Company’s internal procedures.
2. Personal Data Subject to Processing
2.1. In the course of Users’ interaction with Syntx AI, the Company collects and processes only those personal data that are necessary to ensure functionality, stable operation, and the fulfilment of obligations provided for by applicable legislation.
2.2. The personal data of Users subject to processing include the following data:
2.2.1. User identification data in Telegram, including:
2.2.1.1. Unique user identifier (Telegram ID);
2.2.1.2. Username, if specified;
2.2.1.3. Displayed name (first name, last name);
2.2.1.4. Telegram interface language;
2.2.1.5. Profile photo, in anonymized form if necessary;
2.2.1.6. Status of interaction with Syntx AI, for example, subscription status, role in a chat, and other information.
2.2.2. Data relating to interaction with Syntx AI, including:
2.2.2.1. History of messages and commands sent by the User to Syntx AI;
2.2.2.2. Time and date of requests to Syntx AI;
2.2.2.3. Responses received from Syntx AI, including data transferred to external AI services, if such services are used;
2.2.2.4. Data voluntarily provided by the User when filling out forms, feedback requests, applications, and similar communications.
2.2.3. Contact details provided by the User during registration or when using the web version of the Platform, including email address, if the User authorizes through a Google account or independently provides an email address when interacting with Syntx AI.
2.3. The Company does not intentionally request and does not seek to process special or sensitive categories of personal data, including information about health, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, biometric data, information about sex life or sexual orientation, unless otherwise required by applicable legislation or voluntarily provided by the User on their own initiative.
2.4. The Company processes personal data only to the extent necessary to achieve the purposes specified in this Privacy Policy and takes reasonable organizational and technical measures to limit the scope of data collected.
2.5. In the event of use of payment instruments provided within Syntx AI, payment information is processed by the relevant payment providers, which act as separate data controllers. The processing of such data is governed by the privacy policies of the relevant payment providers, which the user undertakes to review and accept.
3. Purposes of Personal Data Processing
3.1. The processing of personal data of Syntx AI users is carried out exclusively for purposes necessary to achieve the following objectives:
3.1.1. Ensuring the core functionality of Syntx AI:
3.1.1.1. Identification of the user within the Telegram platform;
3.1.1.2. Processing of commands and requests received from the user;
3.1.1.3. Generation of responses and content based on the entered data;
3.1.1.4. Ensuring personalized interaction with Syntx AI.
3.1.2. Supporting and improving the operation of Syntx AI:
3.1.2.1. Monitoring the stability and correctness of Syntx AI operation;
3.1.2.2. Analysis of user behavior in aggregated and anonymized form in order to improve the user interface (UX/UI) and interaction logic;
3.1.2.3. Processing error reports and requests sent to the support service.
3.1.3. Compliance with legal requirements:
3.1.3.1. Maintaining records and reporting in cases where paid services are provided, including for taxation and financial control purposes;
3.1.3.2. Performing legal obligations in the field of data protection and telecommunications services provided for by legislation;
3.1.3.3. Responding to lawful requests from authorized public authorities and other third parties.
3.1.4. Communication with users:
3.1.4.1. Sending notifications related to the functioning of Syntx AI, including, but not limited to, updates and changes to the terms of use;
3.1.4.2. Responding to user requests, providing feedback, and rendering technical support;
3.1.4.3. Sending informational and marketing messages to the User’s email address, including news about Syntx AI, product updates, special offers, and other materials related to the Company’s activities, where there is an appropriate lawful basis provided for by applicable legislation. The User has the right to unsubscribe from marketing messages at any time by using the unsubscribe link contained in the relevant message or by sending a request to [email protected].
3.2. Transfer of Data to Third Parties
3.2.1. To provide the service, the Company may use third-party service providers, including providers of cloud infrastructure, hosting, payment services, analytics systems, artificial intelligence technology providers, technical support services, and other contractors.
3.2.2. Such persons receive access only to those personal data that are necessary to perform the functions assigned to them and are obliged to ensure the confidentiality of information, comply with the requirements of applicable personal data protection legislation, and use the data received solely for the purpose of providing services to the Company.
3.2.3. Due to the international nature of the Company’s activities, personal data may be processed and transferred to countries other than the User’s country of residence. In such cases, the Company takes reasonable organizational, technical, and contractual measures to ensure an appropriate level of personal data protection in accordance with the requirements of applicable legislation, including the legislation of the United Arab Emirates and, where necessary, GDPR requirements in relation to Users located in the European Economic Area.
4. Legal Bases for Personal Data Processing
4.1. The Company processes Users’ personal data only where there are lawful grounds provided for by applicable legislation, including the personal data protection legislation of the United Arab Emirates and, where necessary, the requirements of Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR) in relation to Users located in the European Economic Area.
4.1.1. User consent
4.1.1.1. This basis applies in cases where the user voluntarily provides their personal data, including, but not limited to, data transmitted through forms, feedback, the use of special functions, or activation of extended functionality of Syntx AI.
4.1.1.2. The user has the right to withdraw their consent to the processing of personal data at any time by sending a request to the email address: [email protected]. Withdrawal of consent does not affect the lawfulness of data processing carried out on the basis of consent before its withdrawal.
4.1.2. Performance of a contract or pre-contractual steps at the request of the data subject
4.1.2.1. This legal basis applies if the processing of personal data is necessary for the performance of a contract with the User or for taking pre-contractual measures at the User’s request, including providing access to Syntx AI functionality, processing requests, and generating responses.
4.1.3. Compliance with legal obligations
4.1.3.1. This basis applies in cases where the Company is obliged to retain or disclose Users’ personal data in accordance with the requirements of applicable legislation, including, but not limited to, tax or accounting obligations when providing paid services.
4.1.4. Legitimate interests of the Company
4.1.4.1. This legal basis applies to the processing of personal data for analytics, protection against abuse, improvement of user experience quality, as well as administration and maintenance of Syntx AI, provided that the Company’s legitimate interests do not violate or prejudice the fundamental rights and freedoms of the User.
4.2. If personal data processing is carried out on the basis of the User’s consent, the Company always provides the User with the opportunity to withdraw consent at any time, and refusal of consent will not result in negative consequences for the User, including restriction of access to Syntx AI functionality.
5. Personal Data Retention Periods
5.1. The Company stores Users’ personal data only for the period necessary to achieve the processing purposes specified in Section 3 of this Policy, unless a longer retention period is provided for by applicable legislation or required to protect the Company’s legitimate interests.
5.2. Specific personal data retention periods are established depending on the category of data and the purpose of processing as follows:
5.2.1. Data related to the use of the Syntx AI service, including Telegram ID, username, interaction history, requests, and commands, are stored for 12 months from the User’s last interaction with the service, unless longer storage is required to ensure security, resolve disputes, or comply with legal requirements.
5.2.2. Data provided when contacting support or by email, including at [email protected], are stored for 6 months after completion of consideration of the request, unless another retention period is provided for by applicable legislation or required to protect the rights and legitimate interests of the Company.
5.2.3. Data related to payment for services, conclusion of contracts, accounting, and tax records are stored for the period established by the applicable legislation of the United Arab Emirates and other mandatory regulatory requirements.
5.2.4. Personal data used for sending informational and marketing messages, including an email address, are processed until the User withdraws the relevant consent or until the Company receives a request to opt out of such messages. After opting out, the email address may be stored in a suppression list for the period necessary to prevent repeated sending of unwanted messages and confirm compliance with legal requirements.
5.3. Upon expiry of the retention periods specified in this section, personal data are either deleted or anonymized in a manner that excludes the possibility of identifying the User, except where legislation requires storage for a longer period.
5.4. The User has the right at any time to submit a request for deletion of their personal data by sending the relevant request to [email protected]. The Company considers such requests within a reasonable period and in accordance with the requirements of applicable legislation. A request may be refused in full or in part if further processing or storage of the relevant data is required to comply with legal requirements, perform contractual obligations, protect the legitimate interests of the Company, or establish, exercise, or defend legal claims.
6. Users’ Rights as Data Subjects
The Company respects Users’ right to protection of their personal data and ensures the possibility of exercising the rights provided for by applicable legislation, including the personal data protection legislation of the United Arab Emirates and, where necessary, Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR) in relation to Users located in the European Economic Area.
Syntx AI values the confidentiality and security of users’ personal data. In order to comply with personal data protection legislation, we guarantee that users have all rights provided for by the legislation of the United Arab Emirates and, where necessary, Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR) in relation to Users located in the European Economic Area. 6.1. Right of access to data
The User has the right to request information about which personal data we collect and process through Syntx AI. We undertake to provide access to such data at the user’s request in accordance with applicable legal rules.
6.2. Right to rectification of data
If the user discovers that their personal data are inaccurate or incomplete, the user has the right to request their correction. We undertake to promptly make the necessary changes to the data so that they correspond to reality.
6.3. Right to erasure of data
The User has the right to request deletion of their personal data if they are no longer necessary for the purposes for which they were collected or if the user wishes to stop their processing. In such case, we undertake to stop processing and delete the data, except where legislation requires their retention.
6.4. Right to restriction of data processing
In some cases, the user has the right to request restriction of the processing of their data, for example, if the user contests the accuracy of the data or considers that data processing violates their rights. We will consider such requests and take appropriate measures where necessary.
6.5. Right to data portability
The User has the right to receive their personal data in a structured, machine-readable format and to transmit them to another data controller where technically possible. We undertake to ensure data portability where this does not violate the rights and freedoms of other data subjects.
